Overview
Microsoft Access is database software. It can be used to house, retrieve, enter, calculate and store data. The various components of Microsoft Access are tables, queries, forms, reports, macros and modules. Tables are used to house information. Queries are objects in Access that are used to pull information from tables and/or calculate the information in the tables. Queries can also pull information from other queries. Forms can be used to enter data into tables. The Forms provide a visually friendly tool to enter information. Reports display the database information in a printer-friendly format that can be distributed to others. Macros allow automation of database tasks, and modules provide an area for advanced programming.
Step 1
Open "Microsoft Office" and then "Microsoft Access." Click on "Sample."

Open the "Northwind" database. "Northwind" is a tutorial database that comes with the Microsoft Access program. It can also be modified for individual purposes.

Select "Andrew Cencini" from the drop-down box and click "Login." Microsoft Access can be used to house and access information for business and also home use. In this case, "Andrew Cencini" is a fictional employee at the fictional company Northwind Traders.

Click on "New Customer Order" in the gray bar beside "Andrew Cencini."

Select Company A from the "Company Name" drop-down box and Northwind Traders Ravioli from the "Product" drop-down box. Enter "7" in the "Qty" field. In this case, Access is used to enter information. Press the Tab key to go to the next fields. Notice that the $19.50 unit price is calculated by the quantity to get the "Total Price" of $136.50. Access also calculates information.

Close the box. Click on "Close" in the gray bar at the far right.

Click on "View Orders" under "Quick Links."

Click on "View Invoice" in the gray bar.

View the invoice. The generated invoice, which is a report, is ready for printing. Use Access to generate a report that can be distributed.

Click on the "Home" tab to return to the original menu. Explore the "Northwind" database to further understand what can be done with Microsoft Access.
